Create an account, connect a Google or Microsoft calendar, and connect the supported meeting platforms you use. Fathom captures eligible meetings through its desktop app, bot, Zoom app, or Chrome extension, then produces a transcript, summary, highlights, and action items that can be searched, shared, exported, or sent to connected tools.
What is Fathom?
Fathom is an AI meeting assistant and meeting intelligence platform. It captures eligible online meetings through a desktop application, meeting bot, Zoom application, Chrome extension, or supported bot-free mode. After a meeting, it produces a transcript, summary, highlights, and action items that can be searched, shared, exported, or sent to connected business tools.
Its primary purpose is not general-purpose chat or web research. Fathom is built around the meeting lifecycle: capture the conversation, preserve what was said, identify follow-up work, and make the information useful later. In that respect, it belongs to the same broad category as Otter and Fireflies.ai, but its workflow also emphasizes CRM synchronization, meeting search, team views, coaching, and integrations.
How people use Fathom
A typical setup begins with connecting a Google or Microsoft calendar and the meeting platforms used by the account. Fathom can then capture eligible meetings using its desktop software, meeting bot, Zoom app, or supported browser and bot-free experiences. Once processing is complete, users can review the transcript, scan an automatically generated summary, check extracted action items, clip important moments, and share selected information with colleagues or customers.
For recurring work, the value is less about a single summary and more about building a searchable record of conversations. A sales representative can review previous customer calls, send notes to a CRM, and prepare follow-up communication. A manager can search past internal meetings, monitor recurring topics, and use team folders, comments, customer views, or deal views to organize meeting knowledge. Fathom also supports questions about an individual meeting or broader meeting history through Ask Fathom.
Important capabilities
Transcription and meeting summaries
Fathom creates searchable transcripts from captured meeting audio and conversation data. Its summary options include chronological, enhanced, advanced, and custom formats. Summaries can be paired with highlights and action items, making the output more useful than a raw transcript when the goal is to understand decisions or determine what happens next.
Search, questions, and follow-up
Meeting history can be searched by attendees and keywords. Users can also create keyword or AI search alerts for recurring subjects. Ask Fathom provides a conversational way to query an individual meeting or a broader collection of meetings. These features are especially relevant when an organization needs to retrieve details from customer, recruiting, or internal conversations weeks after they occurred.
CRM and workflow connections
Fathom connects with tools including HubSpot, Salesforce, Close, Slack, Zapier, Make, Notion, ChatGPT, and Claude, among others. CRM synchronization can send summaries, notes, action items, and selected fields into supported records. The public API, OAuth, webhooks, and MCP provide additional ways to use meeting data in custom workflows. This makes Fathom more than a standalone note-taking application, although the quality of an automated workflow still depends on how the connected systems are configured.
Team intelligence and coaching
Team plans add shared meeting content, folders, comments, customer and deal views, coaching metrics, AI scorecards, administrative controls, and broader search capabilities. These functions are aimed at organizations that want to analyze patterns across conversations rather than simply give each employee a private transcript archive.
Who Fathom is for
- Sales and customer-facing teams: Capture calls, extract next steps, synchronize notes with CRM records, and review customer or deal history.
- Managers and team leads: Create a shared record of meetings, monitor recurring topics, and support coaching or quality review.
- Recruiters, consultants, and professionals: Preserve conversation details and reduce the need for manual note-taking.
- Individuals: Use the free plan for personal meeting recordings, transcription, search, clips, and playlists.
Fathom is less suitable for someone who needs a mobile-first recorder, phone-call transcription, a general research assistant, or a broad no-code workspace for building unrelated automations. It is also not designed as a general document, presentation, image, or video creation tool.
Platforms and practical limitations
Standard meeting capture is centered on Mac and Windows computers and supported online meeting platforms. Fathom supports Zoom, Google Meet, and Microsoft Teams, with a Chrome extension for Google Meet and a Zoom application among its capture options. The bot-free experience is available on Mac and is rolling out to additional platforms.
Mobile devices, tablets, Chromebooks, and Linux computers are not supported for standard meeting capture. Phone calls without meeting links, webinars, and breakout rooms are also not generally supported in the standard experience. These constraints matter for organizations whose meetings occur outside the supported desktop and online-meeting workflow.
Language information should be treated carefully because Fathom's public documentation is not fully consistent. Its overview material lists native transcription and summarization in English, Spanish, Dutch, French, Italian, German, and Portuguese, while help documentation states that transcription supports 38 languages. Ask Fathom can translate into additional languages, but exact availability may depend on the feature and current account configuration.
Pricing and access
Fathom offers a continuing free individual plan with unlimited recordings, storage, transcription, clips, playlists, and search across personal calls. Advanced summaries and some other AI features are limited. After the Premium preview ends, help documentation states that free users receive five advanced summaries per month.
New individual users receive a 30-day Premium preview. Public pricing currently lists Premium from $16 per user per month when billed annually, or $20 per user per month when billed monthly. Team starts at $15 per user per month annually or $19 monthly, with a two-user minimum. Business starts at $25 per user per month annually or $34 monthly, also with a two-user minimum. Enterprise pricing is custom. Prices and included limits can change, so these figures are best understood as a current structure rather than a permanent guarantee.
Privacy and data considerations
Fathom stores meeting records in the account, including audio, video, or transcript data depending on the capture mode. It states that the service is SOC 2 Type II audited and HIPAA and GDPR compliant, and enterprise plans provide centralized security controls, SSO, SCIM provisioning through Okta, and custom retention programs.
Organizations should still review configuration and policy details before enabling broad capture. Fathom states that it may use de-identified customer data to improve its proprietary AI models and that users can opt out. The applicable settings can differ by account and plan, and enterprise controls may provide organization-wide options. Retention also varies by plan and configuration rather than following one universal period. Meeting access through MCP is limited to meetings the connected user is already allowed to view in Fathom.
How Fathom differs from adjacent AI tools
Unlike a general-purpose assistant such as ChatGPT or a broad productivity workspace such as Notion AI, Fathom begins with captured meeting conversations and structures its features around them. Its differentiator is the combination of transcription, meeting-specific summaries, searchable history, follow-up extraction, CRM synchronization, and team meeting intelligence.
That specialization is useful when meetings are the main source of operational information. It is less useful when the primary need is open-ended research, document creation, mobile recording, or workflow automation unrelated to conversations. Fathom can connect to automation services such as Zapier, but its core product remains meeting capture and meeting intelligence rather than a general agent builder.
Is Fathom a good fit?
Fathom is a strong fit for users who attend frequent supported online meetings and want automatic notes, searchable conversation history, action items, and CRM-connected follow-up. The free individual plan makes it accessible for personal use, while team and enterprise capabilities address shared meeting libraries, administration, coaching, and security requirements.
Before adopting it, check the capture requirements for the organization's devices and meeting types, confirm the languages needed, and review training opt-out, sharing, retention, and consent policies. For teams that can work within those constraints, Fathom offers a focused way to turn meetings into reusable operational records rather than leaving important decisions buried in call history.
